Summary:
This job is responsible for scheduling and pre-registering appropriate procedures with callers at any outpatient offices for all the modalities over the phone and in person in a friendly and professional manner.
This role is responsible for providing support to the Outpatient Clinics by obtaining information needed prior to the patient having their exam performed to include, but not limited to, correct orders, prior imaging, labs, chart notes, interpreter scheduled, and prior authorization.
Utilizing electronic systems to complete job responsibilities (RIS, PACS, EMR, etc.
).
Scrub scheduled exams by reviewing and initiating communication with technologists to ensure appropriate exam is scheduled and we have all documentation required to perform exam.
Re-position schedule as needed and work waiting list to fill gaps.
Has knowledge of commonly-used concepts, practices, and procedures within healthcare/radiology.
Relies on instructions and pre-established guidelines to perform the functions of the job.
Works under immediate supervision.
Assumes other responsibilities as assigned by Manager/Supervisor.

Utilize electronic worklist and schedule grid to ensure all scheduled appointments are processed completely 72 hours or more in advance to appointment.
Ensure prior examinations and reports are accessible in RIS/PACS for scheduled appointments by utilizing appropriate systems for tracking of medical records discs, reports, films, and other medical records.
Push digital images electronically via PACS systems, when appropriate, maintain EMIX system by pushing and purging studies per expected process.
Keep physicians, technologists, or other medical personnel informed by communicating availability or unavailability of records.
When needed, obtain labs or orders to do labs on site pertinent to the studies being done per policy (i.
e.
Creatinine for CT/MRI/enhanced X-rays; Glucose for NM).
Follow guidelines for special request/STAT/schedule modification.
Coordinates with clinical and referring to accommodate the customer's needs.
Sends notification on all STAT orders for immediate action.
Verifies provider orders for accuracy, completeness, and requests updated orders as needed according to established protocols and technologist or Radiologist requests.
Ensures all orders are attached to scheduled appointments (electronic, faxed, etc.
).
Ensure Interpreter has been procured for appointment scheduled.
Ensure Prior Authorization has been procured for appointment scheduled if needed.
Reposition schedule as needed by scheduling and rescheduling appointments.
Work the wait list to fill gaps.
Duties include managing multiple phone lines, email, and faxes.
Protect the security and confidentiality of medical records to ensure that HIPAA compliance is maintained.
Handle Release of Information (ROI) according to state and HIPAA guidelines.
Where appropriate, manage the postage machine ensuring adequate funds are available.
Coordinate supply needs with management and purchasing department.
Telephone pre-registration screening when needed.
May provide patients with preparation protocol, directions to office, etc.
Assist other department members as needed.
All work is completed within established goals and accuracy standards.
Follow the center exposure controls plan for blood borne and airborne pathogens.
Provide accurate information to key customers.
Work closely with Managers, Modality Specialists, and Technologists to ensure needs are being met.
Perform all other related duties as assigned.

Qualifications:
Education/Work Experience High School diploma or GED required.
3
years medical office experience required.
A formal medical terminology class or equivalent medical office experience is required.
Job Knowledge/Skills Knowledge of scheduling processes.
Knowledge of billing/insurance requirements or restrictions for procedures.
Basic knowledge of radiology procedures, including general x-ray, DEXA, ultrasound, mammography, CT, MRI, Nuclear Medicine, PET, Fluoroscopy, IR and special procedures.
Know the preparations for all of the exams performed and the safety guidelines involved with each exam.
Understand the RIS system and specifically the scheduling module recognizing the company's multiple locations.
Understand insurances and know which exams require prior authorization and schedule accordingly.
Ability to provide geographical directions to all outpatient locations.
Ability to understand all applications used to provide the practice with referrals from medical facilities.
Ability to organize, multi-task and coordinate.
Ability to correctly pronounce and spell medical terms.
Solid analytical and technical skills.
Able to use all related hardware and software.
Ability to demonstrate effective customer service skills.
High level of interpersonal skills to handle sensitive and confidential information, situations, and documentation.
