Alabama State Department of Education (SDE)

Career and Technical Education (Director's Office)

Duties:

Read, proof, write, compose, type, and file documents to ensure rapid processing and accuracy following departmental procedures and policies.

Proofread/edit materials for the section such as reports, letters, memos, minutes, resolutions, annual reports, annual state plan, and contracts using references such as the Gregg Reference Manual (ninth Edition), dictionaries, and established office procedures to identify and correct errors.

Develop and utilize a tracking system to ensure that letters, purchase orders, travel, contracts, proposals, itineraries, and other documents are traceable from development to completion in a timely manner with accurate results.

Support the section staff by serving as the liaison to the Director, Executive Office, and Accounting Sections.

Delegate, supervise, and train administrative office staff to ensure that policies and procedures are followed and to ensure timely and accurate completion of all projects, activities, and other assignments.

Work collaboratively with executive offices to execute daily activities according to SDE and local education agencies (LEA) accounting, and respond to LEAs in a timely manner.

Assist the Director in planning and coordinating meetings and keeping accurate account of information associated with each. Assist in the preparation and maintenance of job descriptions for present and proposed positions.

Execute the development of special projects such as PowerPoint presentations and organizational charts; coordinate and distribute to all units within the section notices of division and departmental meetings, committee assignments and changes in LEA personnel, departmental procedures, new policies, announcements, etc.

Take and transcribe minutes of staff meetings and professional organizations.

Develop and maintain the section Web site to ensure accurate format and content (editing).

Process the execution of pre-appraisals, mid-appraisal, and annual appraisals of section staff in accordance with personnel department rules and guidelines.

Initiate requests for registers to fill vacant positions with the approval of the Director.

Process leave requests of section staff by entering leave into the Department's leave system and verify that all biweekly time sheet information submitted by the section staff accurately correspond to the leave system.

Coordinate and complete out-of-state travel arrangements for the Director; process travel reimbursement claims for the Director and other professional staff when requested.

Organize and systematically maintain training opportunities for specialists and administrative assistants to increase technical proficiency and facilitate effective and efficient time management.

Collect, sort, and process incoming mail.

Type and proofread SDE documents, such as annual performance reports, business letters, memoranda, certificates, newsletters, proposals, contracts, etc.

Compos routine correspondence following oral and written instructions; take and transcribe dictation.

Design certificates and newsletters; complete forms such as leave reports, printing requests, travel requests, expense vouchers, requisitions, payment vouchers, material receipts, and personnel transactions.

Provide information to the public via telephone or personal contact regarding business and marketing education programs in Alabama.

Maintain document files.

Operate office machines; maintain office supplies; and manage office, to include: maintaining staff itineraries, accessing information for decision making, planning, and setting up meetings, prioritizing work, keeping financial and legal records, and making travel arrangement. Maintain property inventory for CTE Section.
